Data Retention Policy

Renna Hand ("Renna Hand," "Company," "we," "us," or "our") is committed to protecting the privacy and security of information collected or used in connection with the Renna Hand website and application (collectively, the "Services"). This Data Retention Policy ("Policy") explains what information Renna Hand may retain, how long we generally retain it, what happens when a customer deletes an account, and the role of third-party service providers. This Policy should be read together with Renna Hand's Privacy Policy and Terms of Service.
1. General Retention Policy
Renna Hand generally retains customer account information for ten (10) years from the date the account is created or from the customer's most recent account activity, as determined by the Company. Account information may include the customer's name, email address, telephone number, zip code, account identifiers, and other information reasonably necessary to maintain and administer the customer's account and provide the Services.
When a customer deletes an account, Renna Hand will generally anonymize the customer's account information rather than continue to maintain it in an identifiable form, subject to the exceptions described in this Policy. Renna Hand may retain information for a longer period when reasonably necessary to, without limitation, comply with applicable law, respond to legal process, resolve a dispute, investigate fraud or abuse, enforce an agreement, establish or defend legal claims, or satisfy other legitimate business or legal purposes.
2. Information Retained by Renna Hand
Renna Hand may retain certain information provided by customers for the purpose of operating and improving the Services. This information may include:
- name;
- email address;
- telephone number;
- zip code;
- account and user identifiers;
- listing information;
- booking and transaction information;
- dispute information;
- inspection information;
- communications and messages;
- reviews and questions;
- reports;
- photographs and other user-generated content; and
- other information necessary to provide the Services.
Renna Hand uses zip code information to help determine a customer's general location and provide or display Services that may be relevant to customers in that area. Renna Hand does not intend to store a customer's street address as part of its ordinary account information. Customers should nevertheless exercise caution when voluntarily entering information into public listing descriptions, messages, photographs, or other user-generated content because customers may independently disclose an address or other identifying information in that content.
3. Account Deletion and Anonymization
Customers may delete their Renna Hand account through the account-deletion functionality made available through the Services. Following account deletion, Renna Hand will generally anonymize information associated with the customer rather than continuing to maintain the customer's account in an identifiable form. Anonymization may include replacing the customer's name with a designation such as "Deleted User," removing or disabling identifying account information, and otherwise modifying information so that it is no longer reasonably associated with the customer. Certain information may nevertheless be retained following account deletion where reasonably necessary for, without limitation, business, legal, financial, security, fraud-prevention, dispute-resolution, or other legitimate purposes. For example, Renna Hand may retain or anonymize records relating to:
- completed or pending bookings;
- payments, deposits, refunds, and fees;
- disputes and claims;
- inspections;
- booking modifications;
- customer support matters;
- reports of misconduct or policy violations;
- communications relevant to a transaction or dispute; and
- records necessary to establish, exercise, or defend legal rights.
Where practical, Renna Hand will remove or replace information that directly identifies the deleted customer from these records.
4. Transaction and Booking Information
When a listing, booking, rental, payment, refund, dispute, inspection, or other transaction is created through the Services, Renna Hand may retain records relating to that activity. These records may include information concerning:
- the listing;
- the parties to a transaction;
- dates;
- prices and fees;
- deposits;
- payments and refunds;
- booking modifications;
- inspections;
- damage;
- disputes;
- communications;
- photographs and other evidence; and
- other information reasonably necessary to document the transaction.
Transaction and booking information may be retained for up to ten (10) years or for such longer period as may be reasonably necessary to comply with applicable law, resolve a dispute, investigate fraud or misconduct, enforce an agreement, or establish, exercise, or defend legal claims. Following account deletion, transaction records may be anonymized rather than deleted when complete deletion would impair the Company's ability to maintain accurate business, financial, legal, or dispute records.
5. User-Generated Content
Customers may submit or create content through the Services, including listing photographs, inspection photographs, damage photographs, dispute evidence, support attachments, messages, reviews, questions, reports, and other content ("User Content"). Renna Hand currently retains User Content indefinitely, unless the Company manually or automatically deletes the content earlier.
Renna Hand reserves the right, in its sole discretion and to the extent permitted by applicable law, to manually or automatically delete, remove, modify, archive, or otherwise dispose of User Content at any time, including without prior notice. Renna Hand does not guarantee that User Content will be retained for any particular period or remain available through the Services. Customers are responsible for maintaining their own copies of any User Content or other information they wish to preserve. To the extent permitted by applicable law, Renna Hand is not responsible for the loss, deletion, modification, or unavailability of User Content.
6. Location Information
The Renna Hand application and website may access or use a customer's location information to provide location-based features and functionality. Depending on the features used, the Services may access a customer's precise device location. Renna Hand may rely on third-party software, services, or providers to obtain, process, use, or retain location information necessary to provide certain features of the Services. Renna Hand does not intend to store or transmit a customer's precise device location as part of its ordinary operations. However, because third-party software and services may be involved in obtaining or processing location information, certain location information may be received, processed, or retained by third parties in accordance with their own policies.
Renna Hand may retain a customer's zip code for purposes of determining general location and offering or displaying Services that may be relevant to customers in the applicable geographic area. Renna Hand does not intend to store a customer's street address as part of its ordinary account information. Customers should understand that location information voluntarily included in listings, messages, photographs, descriptions, or other User Content may be visible to other users and may be retained as part of that User Content.
7. Information We Do Not Intentionally Collect Directly
Renna Hand is designed to minimize the amount of sensitive information that it directly collects and stores. For example, Renna Hand does not ordinarily directly collect or store:
- government identification documents;
- complete payment-card numbers;
- contacts from a customer's device;
- health information;
- browsing history for advertising purposes;
- precise device-location history; or
- information used for cross-app behavioral advertising.
However, Renna Hand may use third-party service providers that independently collect, process, or retain information necessary to provide the Services.
Accordingly, the fact that Renna Hand does not directly store a particular category of information does not mean that the information is never collected, processed, or retained in connection with the Services. For example, identity-verification documents may be submitted directly to a third-party identity-verification provider rather than to Renna Hand. Similarly, complete payment-card information may be collected and retained by a third-party payment processor rather than by Renna Hand. The privacy practices and retention periods applicable to information maintained by those third parties are governed by the applicable third party's privacy policy and terms.
8. Third-Party Payment Processors
Renna Hand may use one or more third-party payment processors to process payments, refunds, deposits, payouts, identity verification, and other financial or related transactions. For example, Renna Hand may use Stripe or another payment processor selected by the Company.
Payment processors may collect and retain customer-identifiable information, payment information, financial information, identity-verification information, and other information necessary to provide their services.
All payment information and customer-identifiable information handled by a third-party payment processor is subject to that processor's applicable privacy policies, terms, security practices, and retention policies. Renna Hand does not control the privacy or data-retention practices of third-party payment processors. To the maximum extent permitted by applicable law, Renna Hand is not responsible or liable for the acts, omissions, privacy practices, security practices, retention practices, or use of information by a third-party payment processor.
The Company may select, replace, or use any third-party payment processor or payment service provider in its discretion without obtaining prior consent from customers, subject to applicable law. Customers should review the applicable third party's privacy policy and terms for information concerning how that third party collects, uses, stores, and retains customer information.
9. Other Third-Party Service Providers
Renna Hand works with third-party service providers and technology providers that help the Company operate and provide the Services. These third parties may provide services including, without limitation:
- payment processing;
- identity verification;
- hosting;
- database and backend services;
- cloud storage;
- error and performance monitoring;
- communications;
- security;
- location-based functionality;
- fraud prevention; and
- other services necessary or useful to operate the Services.
Depending on the services provided, third parties may receive, process, store, or retain customer information. Renna Hand endeavors to work with reputable service providers and to protect customer information through reasonable privacy and security practices. Nevertheless, Renna Hand does not control the independent privacy, security, retention, or data-processing practices of third parties.
Information retained by a third-party service provider is subject to that provider's own policies, terms, and applicable legal obligations. To the maximum extent permitted by applicable law, Renna Hand is not responsible or liable for a third party's handling, retention, use, disclosure, loss, or security of information after that information has been provided to or collected by the third party.
10. Stripe and Payment Information
Renna Hand may use Stripe or another third-party payment processor to process payments and related transactions. Renna Hand does not ordinarily store complete payment-card numbers on its own systems. Instead, payment-card information may be collected and stored by the applicable payment processor. Renna Hand may retain limited payment information necessary to administer transactions, such as:
- card brand;
- last four digits of a payment card;
- expiration information;
- cardholder name;
- payment and refund identifiers;
- transaction information;
- deposit information; and
- payout or payment-account identifiers.
The applicable third-party payment processor is responsible for information maintained within its systems in accordance with its applicable policies and legal obligations.
11. Identity Verification
Renna Hand may use third-party identity-verification services to verify customer identity. For example, Stripe Identity may receive government identification documents and information directly from the customer for identity-verification purposes. Renna Hand does not intend to store government identification documents on its own servers. Renna Hand may retain information indicating that an identity-verification process was completed, failed, or otherwise resulted in a particular status, as reasonably necessary to administer the Services. Any government identification documents or other information retained by the third-party identity-verification provider are subject to that provider's privacy policy and retention practices.
12. Diagnostic and Technical Information
Renna Hand may use third-party services such as Sentry to monitor application errors, performance, security, and technical issues. Diagnostic information may include information such as URLs, browser information, device information, error information, and technical identifiers.
Third-party diagnostic providers may retain this information according to their own policies and retention practices. Renna Hand does not use diagnostic information for cross-app behavioral advertising or the sale of customer information to advertising networks.
13. Account Information Retention Period
Unless otherwise stated in this Policy, Renna Hand generally intends to retain identifiable account information for ten (10) years. This may include, without limitation:
- name;
- email address;
- telephone number;
- zip code;
- account identifiers;
- account activity; and
- other information reasonably necessary to administer the account.
When an account is deleted, Renna Hand will generally anonymize the customer's account information rather than retain the account in an identifiable form. The Company may retain certain information for longer than ten (10) years when reasonably necessary to comply with law, satisfy a legal obligation, resolve a dispute, investigate fraud or misconduct, enforce an agreement, or establish, exercise, or defend legal claims.
14. Deleted User Information
When a customer deletes an account, Renna Hand may create or maintain a limited record necessary to connect historical transactions or disputes with the person involved.
This record may contain limited identifying information such as:
- user ID;
- name;
- email address;
- applicable payment-account identifier; and
- account deletion date.
This information may be retained for the applicable retention period described in this Policy and may be retained longer when reasonably necessary for legal claims, disputes, fraud prevention, or other legitimate purposes. Renna Hand does not intend for this limited record to contain a customer's government identification documents, telephone number, or street address.
15. Backups
Information deleted from Renna Hand's active systems may remain temporarily in backups or disaster-recovery systems. Backups are maintained for operational, security, and disaster-recovery purposes and are not ordinarily used for routine business operations. Deleted information will be removed from backup systems in accordance with the Company's backup procedures and applicable technical limitations.
16. Tax Documents
Renna Hand may make tax-related documents available to customers through the Services or by other electronic means. These documents may include applicable tax forms, such as IRS Form 1099, when required or determined appropriate by the Company. Customers are responsible for downloading and retaining copies of their tax documents for their own records.
Unless otherwise required by applicable law, customers should download any tax document made available through the Services within sixty (60) days after the document becomes available. Renna Hand does not guarantee that tax documents will remain available through the Services after that period. Customers are responsible for maintaining their own copies of tax documents and consulting their own tax advisers regarding the retention and use of those documents.
17. Legal Holds and Required Retention
Renna Hand may retain information beyond the periods described in this Policy when reasonably necessary to:
- comply with applicable law or regulation;
- respond to a subpoena, court order, or other legal process;
- comply with a governmental request;
- investigate fraud or security incidents;
- resolve a dispute;
- enforce the Terms of Service;
- protect the rights, property, or safety of Renna Hand, its customers, or others; or
- establish, exercise, or defend legal claims.
When a legal hold or other preservation obligation applies, Renna Hand may suspend ordinary deletion or anonymization procedures until the applicable matter has been resolved.
18. Customer Responsibility for Information
Customers are responsible for maintaining copies of information that they wish to preserve, including User Content, messages, photographs, booking information, receipts, and tax documents. Renna Hand does not guarantee that information will remain available for any particular period. Customers should not rely on Renna Hand as the sole repository for documents or information that they are required or wish to retain for personal, financial, tax, business, or legal purposes.
19. Security
Renna Hand endeavors to protect customer information through reasonable administrative, technical, and organizational measures. However, no website, application, database, electronic transmission, or third-party service can be guaranteed to be completely secure. Customers acknowledge that information transmitted through the internet or maintained by third-party service providers may be subject to risks outside Renna Hand's reasonable control.
20. No Guarantee of Third-Party Data Retention or Security
Because Renna Hand relies on third-party service providers to provide certain functions, information may be stored or processed outside Renna Hand's direct control. Each third party may have its own privacy policy, security practices, retention periods, and legal obligations. Renna Hand endeavors to protect customer privacy and to select service providers that are appropriate for the Services. However, to the maximum extent permitted by applicable law, Renna Hand does not assume responsibility or liability for a third party's independent handling, storage, retention, use, disclosure, loss, or security of customer information.
21. Changes to This Policy
Renna Hand may update this Data Retention and Deletion Policy from time to time to reflect changes to the Services, technology, third-party providers, business practices, or applicable law. When material changes are made, Renna Hand will provide notice as required by applicable law.
